Office Cleaning: How to Maintain an Office

Cleaning and maintaining offices should be a regular process in every company that cares about itself and its employees.

If you clean the premises yourself, there are various factors to consider. Here are a few important recommendations to keep in mind. First, a cleaning plan should be set up covering what, how and how often to clean. Poor hygiene and dust are often the biggest causes of illness. Dust and dirt must be removed from surfaces carefully and as frequently as possible. Upper surfaces such as the tops of cabinets, shelves and light fixtures should be cleaned at regular intervals. A layer of dust builds up there over time, and as air moves it circulates around the room and settles back onto surfaces.

For removing dust and lighter dirt, it makes sense to use microfibre cloths dry or slightly damp. What makes this type of cloth special is that it cleans effectively in most cases without any cleaning product. The cloth has fine, textured fibres that lift dirt from the surface and trap it between the fibres.

Office cleaning gives better results when using professional cleaning products specifically developed for a particular surface. The downside of cleaning chemicals found in retail stores is that they tend to be too aggressive and can leave marks once dry.

Cleaning Methods

Office cleaning must cover different surfaces: desks, glass surfaces, computer screens, kitchen surfaces, sanitary surfaces, and so on. In addition to using the right cleaning product, it is very important here to use specific cloths for different surfaces.

The easiest way is to use a so-called four-colour cloth system. Each coloured cloth should be used for cleaning specific surfaces, for example: blue for general surfaces, yellow for the kitchen, green for the bathroom and red only for the toilet bowl.

This is also why it is unhygienic and unhealthy to use the same cloth to clean, for example, a toilet bowl and then a kitchen table. In offices, the main working tools are generally computers, which tend to collect dust and get dirty. Dust can be removed very effectively from computer and TV screens with a dry microfibre cloth.
Most dirt enters premises on people’s feet. A dirt-trapping mat system should therefore be installed at the entrance to prevent mud, sand and dust from being carried indoors. Effective use of mats extends the lifespan of floors, keeps them cleaner and reduces maintenance costs.

For floor cleaning, it is recommended to follow the maintenance guide for the specific floor type, but the general rule is that loose dirt should first be removed using the dry method to prevent scratching the floor. It should then be washed slightly damp or damp, using the appropriate product and mop, to remove any remaining ground-in dirt.

For removing everyday dirt from carpets, use a vacuum cleaner in good technical condition, and treat heavier stains with a neutral or mildly alkaline product.

When maintaining office premises, it is important to remember that the right techniques and tools matter. Tools must be kept clean, otherwise dirt is simply spread from one place to another. Important rules are to move from top to bottom and from cleaner to dirtier surfaces, and to use dry methods first, followed by damp or wet methods.
